The Church of St. Mary Magdalene, Toronto, is seeking a part-time parish administrator (approx. 20 hours per week) responsible for maintaining day-to-day operations of the parish. Duties include administrative support in the parish office, serving as the main contact person for people engaging with the church office, preparation of weekly bulletins, and assisting in the digital and traditional communications of the parish. Salary $25 to $30 per hour depending on qualifications and experience.

Position Description

PURPOSE OF POSITION
The Parish Administrator serves as a key member of the parish staff by managing the day-to-day operations of the church office and by providing necessary administrative support to pastoral and lay staff, and to volunteer leadership.
QUALIFICATIONS
In-depth knowledge of office management acquired through a combination of education and experience, including experience in running an office open to the public.
Strong interpersonal and organizational skills.
Excellent oral and written communication skills.
Familiarity with and experience in use of MS Office software and accounting software, preferably Quickbooks Online.
Working knowledge of lease and rental agreements and records systems.
Experience and facility with Internet communications tools including social media
Prior familiarity with church practice would be an asset.
RESPONSIBILITIES:
The responsibilities of the Parish Administator include the following:
General Administration
i. Providing administrative support to clergy, staff and the Churchwardens.
ii. Coordinating purchases of goods and services; maintaining upkeep of property and equipment, including office equipment leases;
iii. Managing space bookings and rentals according to established procedures, maintaining related lease and rental agreements.
iv. Maintaining online parish rolls and record systems, including distribution lists for congregation, friends of the church, and various groups and committees, and sending communications to the parish.
Communications and Interaction with the Public
v. Acting as first point of contact for parishioners and members of the public who interact with the parish office in person or by phone or email.
vi. Preparation of weekly bulletins and other materials, including weekly announcements.
vii. Supporting clergy and volunteers in maintenance and regular updating of the parish website and social media presence (notably Facebook and YouTube, including livestreamed services)
Finances
viii. Timely maintenance of the Accounts Payable function including:
a. Record all invoices in the parish’s accounting software.
b. Prepare cheques to pay trade invoices and submit for corporation’s approval and authorized signature.
c. Provide invoice copies to the Treasurer to support on-line payment of utility and other authorized invoices; submit invoices for corporation’s approval.
d. Maintain files of paid invoices and provide information for audit and other purposes as required.
ix. Control, distribute, document and reconcile Petty Cash.

x. Performing other tasks and responsibilities as assigned.
